Time Management Exercise: Delegation Skill Practice

Congratulations! You finally got the assistant you always wanted. To start off this delegation exercise, tell participants to imagine that finally, management realized how hard they’re working and decided to appoint a personal assistant. It’s great news—but now they must start delegating some of their work.

Overview

This fun yet practical exercise gives participants a chance to practice effective delegation in a safe setting. It’s great for leadership, time management, and team-building sessions.

Tools/Items Required

  • Printed or displayed Delegation Observer Worksheet (included below)

Setup

  • Ask each participant to think of one task they dislike most in their actual job—they’ll get to delegate it.
  • Divide participants into groups of three.
  • Each person takes one role: Delegator, Employee, Observer.

Instructions

  • Round 1: Delegator explains the task (2 minutes)
  • Practice Delegation: Delegator delegates the task to the “Employee” (8 minutes)
  • Observer Feedback: Observer provides structured feedback using the worksheet (5 minutes)
  • Switch roles and repeat until all three participants have had a turn in each role

  2. Was the reason for delegation explained?
  3. Did the delegator clarify deadlines or timelines?
  4. Were expectations of performance clearly communicated?
  5. Did the delegator check for understanding?
